Filtering and Routing CleanMail and CleanMail Plus Email Messages

CleanMail and CleanMail Plus are available only to customers using NetNation's Advanced Mail Service. You can upgrade to Advanced Mail Service in AccountManager's Email section.

CleanMail and CleanMail Plus provide spam and virus filtering that helps keep your email span- and virus-free. All incoming email messages are automatically scanned to detect for viruses and to determine if the message meets specially defined "spam criteria."


How standard virus filtering works

As soon as an email reaches our mail servers, our virus filtering system scans the incoming message and any attachments using the latest virus definitions. If an email is found to contain a virus, the email is automatically deleted and a notification is sent to both the sender and the recipient. In a few cases, the sender will not receive a notification. For example, if the address from which the virus was sent is forged or invalid or if the virus filters out the sender's email address.

The virus notification includes the name of the virus and the email address specified as the sender's address. The email's subject provides detailed information, as the following sample email subject line illustrates:

Our virus definitions are updated on a daily basis to provide the greatest security.

Note: Emails that have already been scanned for viruses and which contain either X-Virus-Scanned or X-Virus-Hold in the header will not be re-scanned. The system does not scan messages less than 24 KB in size regardless of attachments.


How standard spam filtering works

Our spam filtering system, which utilizes SpamAssasin, is built around a set of spam rules that have been carefully developed to provide you protection from spam while reducing the number of valid email messages that may be mistakenly categorized as spam.

All incoming emails are evaluated against these spam rules and are assigned a "spam score." This score determines whether the message will be classified as spam. The threshold is set at 5, meaning any message with a score of 5 or higher is classified as spam. Messages scoring between 5 and 10 will be delivered, but will include a spam notification in the subject of the email so that you can immediately identify and delete these messages. The following illustrates a sample subject line of an email message that scores between 5 and 10.

Messages that receive a spam ranking above 10 are automatically deleted so that they do not end up in your in-box.

Note: Emails that have already been filtered for spam and which contain the X-Spam-Flag in the header are not checked. Emails greater than 150 KB are not spam filtered.

Microsoft Outlook

You can configure Microsoft® Outlook® to integrate with our spam filtering feature. The following steps walk you through the process for configuring Outlook to automatically place all incoming messages that have been identified as spam in a special spam folder. As it is possible for email that is not spam to end up in this folder, you should routinely check this folder's contents.

1 Launch Outlook 2000.
2 On the main menu, select Tools > Message Rules > Mail... . The Rules Wizard displays.
3 Click New.
4 In the Which condition(s) do you want to check box, select the "with specific words in the message header" option.
5 In the Rule description box, click the text "specific words."
6 In the Search Text dialog box, enter the following text EXACTLY:

X-Spam-Flag: YES
7 Click OK. The Rules Wizard dialog box reappears.
8 In the What do want to do with the message box, select the "move it to the specified folder" option.
9 In the Rule description box, click the text "specified".
10 Left-click once on Inbox and then click New to create a new folder.
11 In the Name field, enter "Spam", click the Inbox item and then click OK.
12 If you are prompted to add a shortcut, select No.
13 Click the Plus sign to the left of the Inbox item, highlight the Spam folder and click OK.
14 Click Finish and then OK.

Microsoft Outlook Express 6

You can configure Microsoft® Outlook Express to integrate with our spam filtering feature. The following steps walk you through the process for configuring Outlook Express to automatically place all incoming messages that have been identified as spam in a special spam folder. As it is possible for email that is not spam to end up in this folder, you should routinely check this folder's contents.

1 Launch Outlook Express.
2 On the main menu, select Tools > Message Rules > Mail. The New Mail Rule dialog box displays.
3 In the Select the Conditions for your rule box, select the "Where the Subject line contains specific words" option.
4 In the Select the Actions for your rule box, select the "Move it to the specified folder" option.
5 In the Rule description box, click the text "contains specific words."
6 Click OK.

In the Type Specific words dialog box, enter the following text EXACTLY:

***SPAM***

8 Click Add and then OK.
9 On the New Mail Rule dialog box, click the text "specified" in box #3.
10 Left-click once on Local Folder and then click New Folder to create a new folder.
11 In the Folder Name field, enter "Spam" and then click OK.
12 Click OK again.
13 On the New Mail Rule dialog, enter "Move Spam to folder" in box #4.
14 Click OK.

Netscape Mail

You can configure Netscape mail to integrate with our spam filtering feature. The following steps walk you through the process for configuring Netscape mail to automatically place all incoming messages that have been identified as spam in a special spam folder. As it is possible for email that is not spam to end up in this folder, you should routinely check this folder's contents.

1 Launch Netscape mail.
2 Click the Inbox item in the left pane.
3 Right-click once and then select New folder... on the pop-up menu that displays.
4 In the Name field, enter "Spam" and then click OK.
5 In the left pane, select the new Spam folder that you created within your Inbox.
6 On the Tools menu, select Message Filters... .
7 On the Message Filters dialog box, click New. The Filter Rules dialog box displays.
8 In the Filter name field, enter "Move to Spam folder."
9 Select the Match any of the following option and then enter the following in the field to the right:

***SPAM***
10 Click the Perform this action drop-down box and select Move to folder.
11 Click the Inbox on field and then navigate to the new Spam folder you created.
12 Verify the rule settings and then click OK.
13 Click OK again.

Mozilla Mail

You can configure Mozilla Mail to integrate with our spam filtering feature. The following steps walk you through the process for configuring Mozilla Mail to automatically place all incoming messages that have been identified as spam in a special spam folder. As it is possible for email that is not spam to end up in this folder, you should routinely check this folder's contents.

1 Launch Mozilla Mail.
2 Click the Inbox item in the left pane.
3 Right-click once and then select New folder... on the pop-up menu that displays.
4 In the Name field, enter "Spam" and then click OK.
5 In the left pane, select the new Spam folder that you created within your Inbox.
6 On the Tools menu, select Message Filters.
7 On the Message Filters dialog box, click New. The Filter Rules dialog box displays.
8 In the Filter name field, enter "Move to Spam folder."
9 Select the Match any of the following option and then enter the following in the field to the right:

***SPAM***
10 Click the Perform this action drop-down box and select Move to folder.
11 Click the Inbox on field and then navigate to the new Spam folder you created.
12 Verify the rule settings and then click OK.
